How to register a new client

A new agency client is registered in Yandex Direct as a passport organization. Any agency representative can create a passport organization.

A passport organization is a special account of an organization in Yandex (Yandex ID) used by its employees to work in Yandex services. It makes it possible to store all placement data not in individual user accounts, but in a single organization account.

Note

The Yandex Advertising Rules prohibit different clients from advertising under the same username or Yandex ID organization.

  1. At the bottom of the My clients page, under Client management, click Register new client.

  2. Fill out the registration form:

    • Organization name: Required field, no more than 30 characters, except: “[”, “,”, “]”, “&”, “=”, “<”, “>”. The name will be displayed in the list on the My clients page.
    • Currency for settlements with Yandex Direct.
    • Email: Specify the client's email address where they will receive campaign updates.
    • Type of organization. Select from the list:
      • Individual (Russian Federation).
      • Legal entity (Russian Federation).
      • Individual entrepreneur (Russian Federation).
      • Foreign natural person.
      • Foreign legal entity.
    • INN: Specify the client's INN.

  3. Click Register a new client, and a passport organization will be created in Yandex ID.

You can change the client's details on the User settings and Edit client pages.

Client access to Yandex Direct

If requested by the client, the agency must grant them access to manage their advertising campaigns and view performance data. For that, you need to add the client's representatives to the passport organization.

After the passport organization is registered, two employees are automatically added to it:

  • Owner: Chief representative of the agency.
  • Administrator: Agency manager who registered the new client in Yandex Direct.

Any of them can add the client to the passport organization:

  1. Log in to Yandex ID using the agency account.

  2. In the upper-right corner, click the account icon and select the organization from the list. This opens the organization's personal account.

  3. In the left menu, select Employees. Click Invite.

  4. If you are the organization owner (the chief agency representative), select the role that will be assigned to the client's representative:

    • Administrator: Can invite and remove other employees of the organization.
    • Member: Can only view the list of employees and their roles.

    An agency administrator can invite a client's representative only as a member.

  5. Send an invitation in one of the following ways:

    • Enter the client's phone number or email address and click Send. The client will receive your invitation to join the organization.

    • Click Invite via link, copy the link, and send it to the client.

    You don't need to create a new account to join the organization.

When logging in to Yandex Direct in passport organization mode, all employees, regardless of their role in the organization, will have chief client representative's access rights. Besides being able to manage campaigns and view statistics, the chief client representative can control the access of other client representatives. Learn more about managing client representatives.

How to log in to the client's account in passport organization mode

In Yandex Direct, click your account icon in the upper-right corner and select the organization from the list. You don't need to log out of your account to log in to the client's account.

Restricting a client's access to Yandex Direct

If a client needs separate access to their Yandex Direct account (not shared with an agency representative), there's no need to add them to your Yandex ID organization. Instead, add the user as a representative in the client's account:

  1. Log in to Yandex Direct in passport organization mode and select ToolsYour representativesAdd a representative.

  2. Enter a username that hasn't been used for working in Yandex Direct and select the access level:

    • Full access: The client can edit and change ads, view statistics and balance.

    • Read only: The client can only view campaign settings and statistics.

  3. Click Register.

Removing client representatives

Representatives can't register or remove other representatives. Only the chief client representative can remove a representative:

  1. Log in to Yandex Direct in passport organization mode and select ToolsYour representatives.

  2. Click the icon with three dots next to the representative's username and select Remove.

Changing the chief representative

Only the current chief client representative can change the chief client representative:

  1. Log in to Yandex Direct in passport organization mode and select ToolsYour representativesChange chief representative.

  2. Only a registered client representative can be assigned as the chief client representative: select a username from the list of representatives and click Assign.

How to recover access to a client's username

If you registered the client in Yandex Direct by creating a new username, try recovering the password using the standard procedure. If you couldn't recover access:

  1. Create a new Yandex ID. The username must not be used in Yandex commercial services (don’t assign it as an agency's client or launch ad campaigns from its name).

  2. Send a request to change the representative using the Agency employees feedback form. On the page, go to Contextual advertisingClient representatives and access. Fill out the form:

    • In the What is your question about field, select Working with a specific client.
    • Enter the agency's username and the old client username you've lost access to.
    • In the Message subject field, select Access questions (new representative for the client).
    • Specify the new client username and level of access (Full access or Read only).
    • Select the option New username has not been previously used in Yandex commercial services. If needed, select the option Assign the new username as the client's chief representative.

If you can’t restore access to a client username that’s already in your Yandex ID organization by following standard procedure, take these steps:

  1. Remove the old username from the Yandex ID organization.
  2. Send an invitation to the client's other username.

How to enable clients to see the agency's contact details in the interface

If you want your clients to view your agency's contact details in the Yandex Direct interface:

  1. Go to the AdministrationAgency representative's settings page.
  2. Check the Display contacts in the client interface option.

Now, when clients click on the agency name, they'll see your phone number and email. The representative's contacts for a specific client will appear under the agency's contacts.

How to change the notification email address

To change the notification email address for a single campaign:

  1. On the Campaigns page of the selected client, click Edit under the name of the required campaign.
  2. At the bottom of the campaign settings, click Additional settingsNotifications. In the pop-up window, add a new email address.

To change the notification email address for all client's campaigns:

  1. On the Campaigns page of the selected client, navigate to User settings.
  2. In the Contact email field, specify the user's email address.

All notifications are carbon copied to the email address specified during the registration of the chief representative in Yandex Direct. To change this address, provide the new email address to your personal manager in the Department of Advertising Agencies at Yandex.

How to set up SMS notifications for the client's account

Before setting up SMS notifications, make sure that the client's account includes a phone number.

To add a phone number for a client:

  1. Log in to Yandex Direct using the client's username.
  2. On the My campaigns page, click on the client's username in the left menu and go to My settings.
  3. In the Phone field, select the required number. How to link a phone number to a username

Now you can set up SMS notifications:

  1. On the My сlients page, go to the campaigns page for the client.
  2. In the left menu, click on the client's username and go to User settings.
  3. In the SMS notifications field, click Configure. Specify the client's phone number to receive notifications and set the times for their delivery. Click Save.
