Configuring access to a form

Who can edit a form

If you're a Forms for business author, you can allow other employees of your organization to edit your forms:

  1. Open the form builder and go to SettingsAccess.

  2. Start typing the user's name (real name or username) in the Who can edit box.

    You can also specify the name of the group from your Yandex 360 for Business organization to grant access to multiple employees at once.

  3. Click Save.

As a result, the selected user will also be able to edit the form, grant access to the form to their colleagues, or assign themselves as the form author.

Change the form author

Forms for business can have one author and multiple users with editing access. The author controls access to the form and is the only user who can request support to transfer the form to another account or organization.

You can assign yourself as the form author without requiring confirmation from the current author. To become the new author:

  1. Make sure you have editing access for the form. Configuring access to a form

  2. Open the form and go to the Settings tab.

  3. Click Become an author and confirm the action.

As a result, the author role will be transferred to another user. The previous author will still have edit access to the form.

Who can fill out the form

By default, all users can fill out the form. If you're using Forms for business, you can block users who are not part of your organization from filling out the form. To do this:

  1. Open the form and go to the SettingsAccess tab.

  2. Select who can fill out the form:

    • All.
    • Staff only.

    • Selected employees. Only the listed employees can edit the form.

    You can also specify the name of the group from your Yandex 360 for Business organization to grant access to multiple employees at once.

  3. Click Save.

Who can edit a group of forms

If you're using Forms for business, you can group forms by topic, project, team, or other attributes: Group forms

To configure access to a group of forms:

  1. On the Yandex Forms top panel, select Groups.

  2. Choose the group from the list.

  3. In the Access section, specify who can edit the group of forms:

    • Author only.
    • Selected employees. Only the listed employees can edit the group. You can also specify a group from your Yandex 360 for Business organization to grant access to multiple employees at once.
  4. Click Save.

Get access to a form

If you're using Forms for business and need to edit a form that you don't have access to, contact your organization's administrator. Administrators can access any form of their organization and change its settings. For example, this can be useful if a form's author has left the organization.

Administrators can access forms belonging to their organization only when working with the Yandex 360 for Business organization.

  1. Log in as the organization administrator: Logging in to Yandex Forms for Business.

  2. In the sidebar, go to Forms and groups, select the All organization forms filter, and open the desired form.

  3. If you don't have access to the form, you'll see a warning. Click Request access below the message.
