Managing access in projects, portfolios, and goals

In Tracker, permissions for goals, projects, and portfolios can be granted by an employee added to the Author or Lead field, or a user with the Configure access permission. Access can be granted to:

  • Participants only: Employees added to the Author, Responsible, Followers, and Participants fields.

  • Not only participants: Participants of the goal, project, or portfolio along with other users, robots, or groups.

Granting access

  1. Open a goal, project, or portfolio page.

  2. Click in the top right corner. The current access settings are displayed next to the icon: Only participants or Not only participants.

  3. Add users or groups that need access.

  4. Select the actions that you want to allow the user or group:

    • View: Users can open a goal, project, or portfolio by clicking the link or selecting them from the list.

    • Edit: Users can make edits and save their changes.

    • Configure access: Users can remove permissions and manage access for other users.

  5. Click Save.

After the changes are confirmed, the access status  Not only participants appears on the top panel. All participants of the goal, project, or portfolio, as well as selected users, will have access to it.

Restricting access

  1. Open a goal, project, or portfolio page.

  2. In the top right corner, click  Not participants only.

  3. Remove next to the actions that you want to prohibit.

  4. To remove a user or group from the list, click on the right.

  5. Click Save.
