Project portfolios

In Tracker, a portfolio is a set of projects and other portfolios grouped into a single activity area. Portfolios help you structure and manage your project work.

You can add a project or portfolio to one main portfolio and a number of additional ones. A project within the main portfolio is consuming resources. You can use additional portfolios to create custom portfolios or build multiple project portfolio structures, such as by field of activity, department, or product.

Getting started

To start working on a project portfolio in Tracker, create a new portfolio and add projects to it. A portfolio may include both projects and other portfolios.

You can use a Gantt chart to schedule your work under a project portfolio and manage the deadlines of projects within a single activity area.

Portfolio page

In Tracker, you can open any portfolio available to you from the navigation panel on the left: click  Projects or follow the direct link and select a project portfolio from the list.

The project portfolio page shows information about the portfolio team and current status and specifies the projects included in the portfolio:

  • Description tab. Portfolio description, status, timeline, portfolio author and owner, list of team members, comments, customers, links to other portfolios and projects, tags.

  • Projects tab. The list shows both open and closed portfolios and projects. You can reorder them, move across portfolios, and filter by the parameters you specify.

    To set up table columns, click in the top right corner of the table.

    • Select the parameters you want to show or hide in the table from the list. Please note that you can't hide the Name and Progress parameters.
    • To change the order of columns, click and hold next to the parameter name and drag it to where you want it. The position of the Progress column can't be changed.

    The list display settings persist even if you refresh the page.

  • Gantt chart tab. This is a roadmap for portfolio projects and issues included in them. The Gantt chart specifies the timeframes of the portfolios, projects, and issues and relationships between them. For more information, see Gantt chart for project portfolios.

You can track your portfolio's progress indicator in the top right corner of the portfolio page. The colors and sizes of the indicator bars change depending on the statuses of portfolios and projects explicitly nested in this portfolio. The portfolios and projects nested in the portfolios of this portfolio are not displayed in the progress indicator.

To commit changes to the portfolio activities, update the portfolio status.

The portfolio is available to all the organization's employees and Followers by default. To restrict access to the portfolio, click the lock icon in the top right corner and select Members only. This will make the portfolio available only to the users specified in the Author, Person in charge, Customers, Followers, and Participants fields.

Access to a portfolio or project does not automatically grant access to other portfolios or projects associated with them. Each portfolio or project requires separate access permissions.

Configuring portfolio parameter lists

To customize the parameters (fields) shown in the right sidebar, click Edit parameter list and choose the ones you want.

Specifics:

  • If a field is not empty, it always appears in the sidebar. You can only hide the parameters that have no value set.
  • You can't hide some parameters, such as Included in the portfolio, Status, Author, and Lead.

  • The list display settings are saved individually for each user and apply to all portfolios that the user views.
