How to set up access to a portfolio

By default, only the author or the owner can change the access settings for a portfolio. To grant this ability to another employee, set the Full access access type for them.

The access settings for each portfolio are shown at the top of the screen:

  • Not just for participants — means that the portfolio is available to employees who are not specified in its parameters. By default, the portfolio can be edited by all employees and robots in your organization. Restrict their access if the portfolio contains personal or other sensitive data.

  • Only for participants — means that the portfolio can be viewed only by employees specified in the Author, Owner, Participants, or Followers parameters.

If you create a new object (for example, a goal) using the Link button on the portfolio page, the access settings for the goal are copied from the portfolio. You can change them at any time.

Setting up access to a portfolio

  1. Open the portfolio page.

  2. At the top of the screen, click the name of the current access settings: Only for participants or Not just for participants.

  3. To add a user or group, start typing the name in the search box.

  4. To the right of the name or group name, click the icon button and select the access type:

    • View — the ability to open the portfolio.

    • Edit — the ability to edit any portfolio parameters except the access settings.

    • Full access — the ability to view and edit the portfolio, as well as manage access settings for other users.

    • Restrict access — click to remove the user or group from the list.

  5. Click Save.

Linking access settings to the parent

You can link the access settings of a nested portfolio to the settings of the parent portfolio. The settings are inherited from the object that is exactly one level above.

  1. Open the nested portfolio page.

  2. At the top of the screen, click the name of the current access settings: Only for participants or Not just for participants.

  3. In the dedicated section of the settings window, click Link.

    You can review the differences between the access settings of the parent and nested portfolios and decide whether you want to change the settings. To do this, click Compare.

To disable inheritance of access settings, click Unlink in the same section.

To enable settings inheritance automatically, create a nested portfolio on the main portfolio page: go to the Projects tab and click Add portfolioNew at the bottom.

Selecting the default access type for new portfolios

The Tracker administrator can choose which access type is used by default for all new portfolios in Tracker: only for participants or for other users as well. After a portfolio is created, the access settings can be changed.

  1. In the left panel, click Administration Projects and portfolios.

  2. In the Default access to new portfolios list, select the access type.
